This is the place for HKL Production Team to gather and clarify all the information regarding our way of collecting, using and sharing our customers’ information, spaced every single time customers interact or put to use our website.

  • Information customers fill in when placing order on our website: customer’s shipping and billing name, contact details, payment and shipping information e.g. your credit or debit card details

  • Information customers give out when contacting our customer support team: This category includes almost the same information that is collected as they are placing orders, specific documents in forms of text, photos to help clarify customers’ requests.

 

SECTION 2 - WAYS WE COLLECT INFORMATION FROM CUSTOMER

There are two main methods we may use to collect information from customers, divided based on the level of willingness of customers:

  • As you are willing to provide it to us: we may collect information when you contact us, when you place an order on our website, sign up for our email newsletter, fill in a quiz, or create a member account on our website.

  • As you use our website: information will be limitly collected by using cookies and similar technologies only.

 

SECTION 3 - WAYS WE USE THE COLLECTED INFORMATION

There are two main usage of information that we may offer customers:

  • The administrative and business activities purpose: such customer information paves the way for us to easier manage your orders as a whole, to later reach out to you about your order details, and to give out the continuous update of orders status. This is the way we try to complete and improve customer experience with not only our products but also with our service.

  • The purpose of conducting analyses based on customers’ website and order behaviour: it is essential that we are able conduct assessment on your devices used when browsing on our website so that we could improve and optimise both human resources and technical experience for customers. In addition, scanning risk of fraud is also better for not only our own platform but also for customers’ future experience to make the website function well and accessible.

 

SECTION 4 - WAYS WE SHARE THE COLLECTED INFORMATION

Disclosure of customers’ information to third parties: this is only allowed to the extent that is necessary to run our business, to our service providers, exclusively:  

- Enterprise Resource Planning (ERP) Software

- Customer Support Software 

- Email Service Providers

- Credit Card Processing Companies

- Cloud Storage Providers; Tax Collection Software and to fulfill any commitment that we may enter into with you, including your orders and where required by law or to enforce our legal rights.

- The sale of customers’ information in any form of commerce is strictly forbidden here in HKL Production customer information process team.

 

SECTION 5 - THE TIME ALLOWED FOR US TO RETAIN CUSTOMER INFORMATION

We are only allowed to retain customer information until it is unnecessary any longer, specifically by the end of the post-sale service (if required any). Moreover, it is also vital that we take into account every legal obligations that we may incur when providing service, such as: 

  • to maintain records for tax fulfilment purposes, etc. in conjunction with products and services we provide customers

  • other legal basis we have for using your information such as your consent, performance of a contract with you or our legitimate interests as a business.

It is our foremost obligation to protect customer information after the collection and processing required for our business. We may use organizational methods and appropriate technical tools, namely:

By placing orders with us, you reserve the following rights:

Please notice that, if you revoke your consent, this would not affect the constitutionality of our use and processing of your details on the basis of your consent until the period when you withdraw your consent.

SECTION 8 - DETAIL OF CUSTOMER RIGHTS TO OBJECT TO THE PROCESSING OF YOUR INFORMATION FOR CERTAIN PURPOSES

Also by placing orders with us, you reserve the following rights:

  • To object to the use or processing of your information where we use or process it in order to conduct a public interest service for our legitimate interests, including 'profiling' (i.e. evaluating or predicting your actions on the basis of your information) for either of these purposes; and

  • To object to the use or processing of your information for direct marketing purposes (including any targeting we participate in that relates to such direct marketing).

  • You may also exercise your right to object to us using or processing your information for direct marketing purposes.

  • Clicking on the unsubscribe link at the bottom of every marketing email we send to you and following the instructions that will appear in your browser after clicking on that connection.

 

SECTION 9 - SENSITIVE CUSTOMER INFORMATION

Sensitive consumer information, as has been generally accepted, is hereinafter referred to as information regarding a person who reveals their racial or ethnic origin, political views, religious or philosophical convictions or membership in a trade union, genetic information, biometric information for the purpose in uniquely identifying a person, health information or information concerning a natural person’s sex life or sexual orientation. 

From the description, we infer that the only two aspects of the customer information that can be classified as important are: birthday data and skin tone preferences in your account on our website. Both information are entirely voluntary and only obtained on the basis of the express consent of the customer when you open an account on our site and are securely stored on our web servers for use in personalizing our communications with you via email or on-site. Any details stored can be accessed and deleted directly on your account page or by contacting us via customer service. This data is not used in any way , shape or form to make automated decisions other than to customize the website or email material that we think is most important to you.

You are allowed, under any conditions, not to send any other sensitive customer details to us.

 

SECTION 10 - CHANGES TO OUR PRIVACY POLICY

It is necessary that we keep our privacy policy updated and amended on a timely basis.

The changes may includes two main types: the minor ones and the major ones

  • Minor changes to our Privacy Policy

When we make slight improvements to our Privacy Policy, our Privacy Policy will be revised from the current effective start date at the beginning of the Privacy Policy. Our collection of your information will be controlled by the procedures set out in the updated edition of the Privacy Policy from the date of its entry into force.

If we make significant changes to our Privacy Policy or plan to use your information for a new reason or intent other than the reason for which it was initially collected, an email notification (where possible) will be sent to each customer or a notice would be posted directly on our website.

Where applicable, your prior permission will certainly be obtained before we use your information for a reason that is different from the reasons originally set out in the Privacy Policy as set out in your placing orders.

As we deeply respect the privacy and security of minors online when it comes to children, please accept that we comply with the Children's Online Privacy Protection Act of 1998 (COPPA), which, in accordance with its additional regulations, safeguards the privacy of children while using the Internet.
